Disabling and deleting learner accounts

Note: if these actions are unavailable, talk to your administrator about your organisation's permission settings.

  • Disable : do this if you want to 'archive' an account.
    • Learners with disabled accounts will no longer be able to sign in and use WEST.
    • All learner data remains in the system.
    • Disabled accounts still count towards your licence numbers.
    • Note that disabling of an old account also occurs when its learning data is copied to a new account.
  • Enable : do this when you need to re-enable a disabled account.
  • Delete : do this only if you no longer need any record of these learners on the system.
    • Deletion is permanent and irreversible.
    • Accounts and any associated learner data cannot be recovered following deletion.
    • You must disable an active account before it can be deleted.
    • Only inactive accounts (that have never been used at all) can be deleted without first disabling them.

Use the Learners report to determine the current account status and activity dates of your learners.

Before you try to delete accounts you believe to be inactive

  • Check in the 'Learners' report that both values Last online sign-in and Last activity date are blank for the learners you intend to delete.
    • If learners have a 'Last online sign-in' but no 'Last activity date' this means they signed into their WEST accounts but took no further action.
    • If learners have a 'Last activity date' but no 'Last online sign-in' this means they completed assessments in the WEST Offline Assessment Tool, and their results were uploaded, but they have never signed in online.
